Job Summary

The role of Facilities Coordinator is to provide support to the Facilities and Purchasing Departments as defined in the responsibilities listed below. The position will report to the Director of Facilities and will also provide support to other Administrative Associates, departments and Alcami personnel as needed. The position may provide relief for front desk duties to cover receptionist absences, or depending on the need, may provide all receptionist duties for the site.

On-Site Expectations

  • 100% on-site position.
  • 1st Shift: Monday - Friday, 7:30am - 4:00pm.

Responsibilities

  • Create organizational checklists and forms as required to improve processes.
  • Edit and update preventative maintenance (PM) forms in appropriate databases.
  • Primary PM tracking and maintenance of program.
  • Preparation and completion of monthly building preventive maintenance documents.
  • Creation, collaboration, submittal and completion of forms and procedures in Master Control.
  • Effectively interact with all departments in accomplishment of duties.
  • Assist Director of Facilities with Capital Project forecasting.
  • Tracking and reporting department operating and capital expense budgets.
  • Reviewing invoices for approval.
  • Reporting department KPI’s.
  • Assist with Facilities Sharepoint management.
  • Review request for purchases, enter purchase orders into ERP System and follow through to delivery and completion.
  • Source parts and equipment seeking form, fit, and function at best value.
  • Maintain optimal inventories to reduce costs and avoid stockouts.
  • Provide input on vendor evaluations based on price, capability, and performance.
  • Assist with ticket program.
  • Assisting with vehicle program, maintenance scheduling, and registrations.
  • Credit cards, invoice management, and vendor account management.
  • Scheduling and managing training for department.
  • Coordinate on-site facility work with 3rd party vendors.
  • Support front desk coverage as required.
  • Coordinate and schedule internal work orders.
  • Other duties as assigned.

Qualifications

  • Bachelor’s degree with 1+ years of related experience, or Associate’s degree with at least 3+ years experience or High School diploma with 6+ years experience.

Knowledge, Skills, and Abilities

  • Experience working in a fast-paced, highly transactional environment.
  • GMP experience helpful.
  • Strong planning, organizational, time management, and interpersonal skills.
  • Detail and process oriented with strong analytical and creative problem-solving skills.
  • Proficient with Microsoft Office Suite.
  • Team player with strong sense of responsibility and self-motivation.
  • Demonstrated ability to multi-task and prioritize.
  • Database experience required.
  • Strong verbal and written communication skills.
  • Strong attention to detail and organizational skills.
  • Able to problem-solve and complete basic troubleshooting required.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Teams, etc.) required.

Travel Expectations

  • Up to 5% travel required.

While performing the duties of this job, the employee is frequently exposed to moving mechanical parts and risk of electrical shock, burn hazards and microbial contamination. The employee is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals and vibration. The noise level in the work environment is usually moderate. The employee will be required to wear the appropriate personal protective equipment for specific job duties to be performed. Such personal protective equipment may include, but not limited to safety eyewear, various types of respirators/breathing apparatus, lab coats, full protective body coverings, various types of gloves, etc.
